We don't share it with anyone except the tools we use to run our business (listed below). You can ask us to delete your data at any time.

2.1 Information you give us directly
When you submit forms on our website, request a free audit, download our lead-magnet PDF, or interact with our AI receptionist (by phone or chat), we collect:
- Contact details: name, email address, company name, phone number
- Business context: industry, estimated budget, the workflow or problem you described
- Communication content: the contents of your messages, emails, voice calls, and chat sessions with us
2.2 Information collected automatically
When you visit our website, we automatically collect:
- Analytics data via Google Analytics 4: pages viewed, time on page, source of traffic (search engine, referral, direct), approximate location (city level), device type, and browser type. This data is anonymized and aggregated.
- Server logs: IP address, request timestamps, and pages visited (held by our hosting provider, IONOS, for standard server-log retention periods).
- Cookies and similar technologies: we use a minimal set of cookies for analytics and remembering whether you have already seen our exit-intent popup. We do not use advertising cookies or third-party trackers beyond Google Analytics.
2.3 AI receptionist data
If you interact with our AI receptionist (phone or web chat), the conversation is processed by our partner platform Newo.ai (operating under contract via IONOS). Conversations are recorded for quality assurance, lead-capture purposes, and to send you a summary or follow-up. We retain these records for up to 24 months unless you request deletion sooner.

We use the information we collect to:
- Respond to your inquiry within 24 business hours
- Deliver the resources you requested (lead-magnet PDF, audit confirmation, proposal documents)
- Schedule and conduct your free audit consultation
- Communicate about your project, send invoices, and provide ongoing support
- Improve our website and services through anonymized analytics
- Comply with our legal obligations (taxation, contract law, anti-spam law)
- With your consent, send you occasional updates about our services or new resources

Under PIPEDA and Alberta PIPA, we rely on the following lawful bases:

- Google Analytics (United States) — anonymized website analytics
- Anthropic (United States) — when used for AI-drafted email responses (only if enabled in our backend)
- Microsoft (Canada / United States) — productivity tools, email infrastructure
- Government and law-enforcement agencies — only when required by valid Canadian legal process
Some of these providers process data outside Canada (primarily in the United States and the European Union). When we transfer your data internationally, we rely on the providers' contractual safeguards and applicable adequacy mechanisms. 6. Data retention
We retain personal information only as long as necessary to fulfill the purposes for which it was collected:
- Form submissions and inquiries: 24 months after the last interaction, then deleted unless you become a client
- Client engagement records: for the duration of the engagement plus 7 years (Canadian tax-record retention requirement)
- Email subscribers and lead-magnet downloads: until you unsubscribe (we will action unsubscribe requests within 10 business days as required by CASL)
- Server logs and analytics: standard short retention periods set by our providers
7. Your rights
Under Canadian privacy law, you have the right to:
- Access your personal information that we hold
- Correct inaccurate or incomplete information
- Withdraw consent for any processing based on your consent
- Request deletion of your information (subject to legal retention obligations)
- Object to specific uses of your data

8. Security

- Multi-factor authentication on all administrative accounts
- Access limited to the founder and explicitly contracted service providers
- Periodic review of security controls based on the founder's professional background in enterprise cloud security (15+ years, Cisco CCNA Security certified)
No system is perfectly secure. If we ever discover a privacy breach affecting your data, we will notify you and the relevant Canadian authorities as required by law (including PIPEDA's mandatory breach reporting under the Breach of Security Safeguards Regulations).
9. Children's privacy
Our services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has submitted information to us, please contact us and we will delete it.
10. Anti-spam compliance (CASL)
We comply with Canada's Anti-Spam Legislation (CASL). We send commercial electronic messages only to people who have given express or implied consent. Every commercial email we send includes our identity, contact information, and an unsubscribe mechanism. Unsubscribe requests are honoured within 10 business days.
11. Changes to this policy
We may update this policy from time to time as our services evolve or as required by law. Material changes will be reflected in the "last updated" date at the top of this page, and where appropriate, we will notify recent contacts by email.
